Executive Assistant/Administrator

The Canadian Foundation for the Advancement of Investor Rights [Fondation pour l’avancement des droits des investisseurs] (FAIR Canada) is an independent national charitable organization. As a voice for Canadian investors, FAIR Canada provides information and education to the public, governments and regulators about investors’ rights and protections in Canada’s capital markets. The mission of FAIR Canada is to be a catalyst for enhancing the rights of Canadian shareholders and individual investors, including being a national voice for investors in securities regulation.

Reporting to the Executive Director and Director of Policy/COO, and as an integral part of our small team in downtown Toronto, the Executive Assistant/Administrator will be responsible for ensuring our organization runs effectively and efficiently by:

  • providing administrative support to professional staff,
  • website and social media management, and
  • organizing conferences, board meetings and other events.

Principal Responsibilities:

  • Administering day-to-day office operations.
  • Providing logistical support for staff – calendar management, conference registration, travel, expense reports, update publications etc.
  • Assisting with event coordination for conferences, annual meetings.
  • Coordinating board and committee meetings.
  • Providing support to bookkeeper with budget preparation and annual audit.
  • Updating FAIR Canada’s website and social media postings.
  • Editing documents.
  • Troubleshooting computer systems and liaising with IT service provider as needs arise.
  • Managing information systems.
  • Ad-hoc research and other report generations as necessary.

Qualifications, Requirements and Competences:

  • Strong organizational skills, with attention to detail and ability to prioritize.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and in a team environment.
  • Post secondary education is an asset.
  • Experienced in use of MS Office, MS Word, and MS Excel and WordPress. Familiarity with Quickbooks an asset.
  • French language skills an asset.
